<br />ATTACHMENT D <br /> <br />MEMORANDUM <br /> <br />Date: November 22, 1996 <br /> <br />To: Mayor and City Council <br /> <br />From: Carol Hildebrand, Library Services Director <br /> <br />SUBJECT: Funding Request for Library Automation <br /> <br />This memo is to provide additional information on the $52,650 request for Library Automation <br />improvements. This request is the result of an extensive review by ASD - Information Services <br />Division. ASD - ISD had been working with the Library staff on a comprehensive analysis of the <br />Library's specific business functions. The purpose of that review was to identify specific cost <br />effective additions and/or enhancements to the Library's current automation system in order to <br />improve services. <br /> <br />The total requests listed below consist of several small items. All are to improve efficiency and <br />save staff and patron time. <br /> <br />Specifically <br />Adding stationary scanners and a security system. Circulation staff have been working with ISD <br />staff to speed up check-out and check-in. They plan to purchase stationary scanners and security <br />system desensitizers to replace equipment requiring several motions to complete a transaction. <br />With some modification to the public counters and the receipt printers installed this summer, <br />along with advanced automation resources that this request will provide, patrons will experience <br />faster service and shorter lines. The possibility of injury due to repetitive motion is also reduced. <br />Cost: $32,740. <br /> <br />Upgrading 21 PCS lacking in memory and too slow; they were used 386 machines when <br />purchased and the usual replacement schedule doesn't meet the need. It includes purchasing new <br />PCS for a library staffwork group who currently have no e-mail access and to allow multi-tasking <br />functions at public service desks like registration. Cost: $19,910. <br /> <br />We view these changes as necessary in order to continue to meet the circulation needs and <br />demands of our customers. The above purchases will also help maximize the usefulness of the <br />Library's seven-year-old VAX system. By upgrading software to the vendor's latest version, <br />linking VAX to new PCS to make the workstations more flexible and explore new functions to <br />reduce costs (like automatic telephone notification instead of printing and mailing notices), the <br />Library business needs and customer service demands will be more aligned. <br />
