Department Director with a copy to the Human Resources Manager. The Department <br />Director or his/her designee and the Human Resources Manager or his/her designee <br />should meet with the employee with ten (10) days of the receipt of the written notice. <br />-The Department Director shall render a decision within ten (10) calendar days of the <br />meeting. <br />Step 4 <br />If the Department Director's decision does not resolve the complaint, it may be submitted, <br />along with all pertinent written information, to the City Manager within ten (10) calendar <br />days following the Step 3 response. The City Manager may choose to hear the complaint, <br />may designate another City manager to hear the complaint, or may refer the complaint to <br />an independent neutral third party if appropriate. The City Manager or his /her designee <br />should meet with the employee within thirty (30) days of the receipt of the written notice <br />to review the facts of the complaint. The City Manager or his/her designee shall respond <br />to the employee in writing within ten (10) days of the meeting. The decision of the City <br />Manager is final. <br />Any or all time limits specified in the complaint procedure may be waived by mutual <br />consent of the parties. The employee or the City may request the extension of time. Such <br />request will not be arbitrarily denied. Failure to submit the complaint in accordance with <br />these time limits without a waiver will constitute abandonment of the complaint. Failure <br />by the City to submit a reply within the specified time without a waiver will allow the <br />employee to move the complaint to the next step. <br />IMPORTANT NOTE - If an employee's complaint involves an alleged violation of <br />the City's anti- harassment/anti- discrimination policy, anti- violence policy, or an <br />allegation of supervisory misconduct, the employee should contact a management <br />employee in Human Resources immediately. <br />
