Acceptable Personal Uses of Office Equipment and Information Technologies <br />during Work Time <br />Using City equipment during work time not only may constitute a misuse of equipment <br />but poses a very significant risk that the employee is abusing City time. The City strictly <br />prohibits the personal use of its equipment during work time, subject to the following <br />limited exception. <br />A. All of the conditions in Section C, above and Section E, below are met; <br />B. The use is essential and cannot reasonably wait until non -work time. For <br />example, on rare occasion, an employee may have an urgent need to <br />communicate with family members, doctors, servic*�,,,P740 icians or school <br />personnel, or take care of a time- sensitive matter d orking hours. On these <br />rare occasions, personal use of the telephone or e- rvice is permitted, <br />provided that the use cannot wait until a break, meIi;,,or afte r work; and <br />C. The use must not interfere with an% W1 job activities. This means that <br />the use may not distract any employ ° om his or her duties. All records, messages, and"communications should be appropriate, professional, <br />and courteous and comply with the City's respectful work environment policy. <br />The City's equipment "must not be used to access or distribute information that is <br />pornographic, obscene, or indecent in nature, or would reasonably offend co- <br />workers or the public on the basis of race, color, religion, sex, national origin, <br />sexual orientation, age, or disability. <br />C. The use of City equipment should result in no or negligible cost to the public. <br />Any identifiable incremental cost must be promptly reimbursed. Reimbursement <br />rates will be determined by Information Services Division each year and <br />communicated to employees. If you have questions about how to reimburse the <br />City, you should ask your division manager. <br />
